Overview
This Privacy Policy explains how Midwest Cardiothoracic Consultants LLC (“MyOpNote,” “we”) collects, uses, and protects information when you use MyOpNote.AI. MyOpNote.AI is designed to be used with de-identified information only. Please do not enter Protected Health Information (PHI) or identifiable patient data into the Service.
Information we collect
Account information. When you create an account, our authentication provider collects your name and email and manages your sign-in.
Your content. The de-identified notes, templates, settings, and case inputs you provide so the Service can generate drafts in your style and track your work-RVUs.
Usage information. Basic technical and usage data (such as log and device information) used to operate, secure, and improve the Service.
How we use information
We use information to provide and operate the Service, generate drafts in your style, maintain your saved templates and case log, secure the Service, communicate with you about your account, and process payments for paid plans. We do not sell your personal information.
De-identified data; no PHI
The Service is intended for de-identified inputs only. We do not request, and you should not submit, PHI. Because the Service is not offered as a HIPAA-compliant service at this time, do not use it to store, process, or transmit identifiable patient information.
Service providers (subprocessors)
We rely on established providers to run the Service, each under their own security and privacy commitments: authentication (Clerk), database hosting (Supabase), application hosting (Vercel), and AI draft generation (Anthropic). De-identified case text you submit for drafting is transmitted to our AI provider to generate the note and returned to you. We share information with these providers only as needed to operate the Service.
Data retention and deletion
We retain your account and saved content for as long as your account is active. You can delete your saved dictations within the app, and you may request deletion of your account and associated data by contacting us. Our AI provider may retain inputs and outputs for a limited period under its standard terms.
Security
We use reasonable technical and organizational measures to protect information, including encryption in transit (TLS) and encryption at rest provided by our hosting and database platforms, and access controls that isolate each account’s data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Cookies
We and our providers use cookies and similar technologies necessary to keep you signed in and to operate the Service.
Your choices and rights
You may access and update your account information and saved content within the app, and you may request access to, correction of, or deletion of your personal information by contacting us. Depending on your location, you may have additional rights under applicable privacy laws.
Children
The Service is intended for healthcare professionals and is not directed to children under 18. We do not knowingly collect information from children.
Changes
We may update this Policy from time to time. We will indicate the “Last updated” date above and, for material changes, provide additional notice.
